MaintCast — Vessel Maintenance Tracker

Set up your vessel to begin — schedules, service log, and next-due projections

✓ saved

Upcoming & due

Each task projects from its most recent logged service (green "last:" line). If a logged service has no hour reading, hours-at-service are estimated from current hours and the avg-hours/year rate. Tasks with no logged service yet project from the system baselines at the bottom — set each baseline to when that system's maintenance was last known current (or the vessel's in-service date to surface everything that's undocumented). Click Log on any row (or "✓ Log service" above) to record work, including past work. Saving: the ❓ button in the toolbar (and the ❓ Help & Guide tab) explains the data file, Drive syncing, backups, and the Safari/iPad route.

Service log

Other maintenance & upgrades — non-scheduled work

Things that come up outside the maintenance schedule — repairs, upgrades, projects. Add items free-form, assign them to a vendor (or leave unassigned), and check them off with the completion date and who did the work. 🖨 Outstanding report builds a clean work list for whoever is selected in the filter — print it or copy it into an email to the vendor.

Operating expenses — fuel, dockage, crew, supplies…

The running costs that aren't maintenance — fuel, dockage & marina fees, captain and crew, supplies & provisions, fishing gear, insurance, everything else. Enter by hand with + Add expense, or let 🤖 AI Import read fuel slips, marina invoices, and receipts (PDF or photo), a bank/card CSV export, or rows copied straight out of an Excel sheet — every drafted entry is reviewed by you before it saves, and anything matching an entry already on file is flagged as a possible duplicate. Maintenance and repair costs stay on their own tabs; reports can combine both into one total.

Total cost of ownership

Every dollar in one view: 🔧 Service & repairs come from the 📒 Service Log (scheduled maintenance, completed repair tickets, and other work completed with a cost); 💰 operating expenses from the Expenses ledger. Category totals first, every entry beneath — tap a column heading to sort.

Repairs — work orders for failures

When something breaks, open a ticket: which system, what happened, where the boat is. 🩺 Diagnose attaches AI-researched likely causes and parts so the tech arrives prepared. ✉ Request work emails the vendor everything they need — the boat's location, equipment make/model/serial, the problem, the diagnosis, and that system's service history — asking for a start date, completion timeframe, and estimate, with a completion form to return. When the work is done, ✓ Complete & log writes the service-log entry (with the cost) and closes the ticket.

Vendors & people

One shared list used everywhere — Service Log entries, To-Do assignments, and scheduled-maintenance tasks. Names are added automatically whenever you type them in a log entry or assignment. 📇 Details stores phones, address, emails, and website (shown on work plans and used by the ✉ Email button on reports) — with an AI look-up to fill in what's missing. 🔎 AI Find Vendors searches for qualified service companies near a zip code, preferring factory-authorized dealers. ✎ Rename updates that vendor's name everywhere at once; 🖨 Work Plan builds their printable report; deleting a name keeps existing records untouched.

System baselines — used until a task has a logged service

Systems — the boat's equipment at a glance

Every system on one line: equipment details, hours, task count, spares carried, default vendor, most recent service, and total logged cost. Pick a vendor to see exactly what they look after. This is the read-at-a-glance view — schedules and details are edited on ⚙️ Maintenance Schedules, hours and dates on 🎛 Baselines.

Spare parts — onboard inventory

Every system's spares in one editable list — part name, part number, how many are aboard, and the target quantity to carry. Type straight into the table; changes save on the spot. Rows below target are highlighted and feed the 🧾 Parts & Spares Order List automatically. 🤖 AI Spare Parts Search researches the chosen system's exact make/model online — the consumables its service schedule burns plus the parts owners report failing — and proposes a stocking list with part numbers for your review. Carrying a part that isn't tied to one system — a spare pump that fits two jobs, general hardware, ship's stores? Use + New system to make a parts-only bucket (e.g. “General spares”); it holds parts with no maintenance schedule.

Supplies & Tools — onboard inventory

Everything aboard that isn't a system spare — supplies (oils & fluids, cleaning and safety consumables, provisions) and tools — with where it's stored and how many you have. Type straight into the table; changes save on the spot. Put a number in Min and the item is flagged LOW when the on-hand count falls below it.

Insurance — policies & coverage

Every policy on the vessel — carrier, dates, premium, coverages (limit & deductible), and additional interests (loss payee / mortgagee / additional insured). Multiple policies per vessel are fine (Hull & Machinery, liability/P&I, etc.). 🤖 AI Import from PDF reads a declarations page and fills a policy for your review. A policy nearing its expiration is flagged here and on the dashboard so a renewal never lapses.

Schedule editor — systems & maintenance requirements

Edit the maintenance requirements themselves here. Changes save with your data (and to the connected Drive file) and flow through the dashboard, log dropdowns, and reports immediately. Deleting a system keeps its service history under "Other / hull & misc". Renaming a task automatically updates its past log entries so history stays linked.

Help & guide

The whole manual, in reading order. Every tab also has its own ? next to its heading, and every pop-up editor has a ? in its top-right corner — each opens just the section you need, right where you are, without disturbing anything you were typing.
